This policy covers all Cognova Labs websites, apps, and related services where it is linked. By using our products you acknowledge that we will handle information as described below. If you use Cognova apps on behalf of an institution, your organization may have additional agreements that govern data handling.
02 · Information We Collect
- Account & profile data: names, usernames, passwords, avatars, grade bands, and contact details provided during registration.
- Usage data: content interactions, feature engagement, progress metrics, and support history captured to improve learning experiences.
- Device & network data: IP address, device type, operating system, browser/SDK identifiers, crash logs, and coarse location (city/region) derived from IP.
- Payment data: when you subscribe through a storefront we receive confirmation of purchase status from the payment provider but never store full card numbers.
- Communications: messages you send to our teams, feedback surveys, and marketing opt‑ins.
03 · How We Use Information
- Deliver, personalize, and support our apps and services.
- Monitor reliability, detect abuse, prevent fraud, and ensure classroom safety.
- Research new learning features and measure effectiveness in aggregate.
- Communicate with you about updates, security alerts, and educational resources (with opt-out controls).
- Comply with legal obligations and enforce our Terms of Service.
04 · Legal Bases
Where required by law (e.g., in the EU/EEA or UK) we rely on the following legal bases:
- Contractual necessity for processing needed to deliver the services you request.
- Legitimate interests such as securing our platform, improving products, and preventing misuse.
- Consent for optional communications or certain analytics, which you may withdraw at any time.
- Legal obligations when processing is required to meet regulatory or compliance requirements.
05 · How We Share Information
We never sell personal information. We share data only with:
- Service providers (e.g., hosting, analytics, customer support) who process data on our behalf under strict contractual safeguards.
- School administrators or guardians when required to provide visibility into learner progress.
- Legal or safety recipients when we believe disclosure is necessary to comply with law, respond to lawful requests, or protect our community.
- Business transfers if we explore a merger, financing, or acquisition, in which case safeguards and advance notice will apply.
06 · Data Retention & Security
- We keep personal information only as long as needed for the purposes outlined above or as required by law/contract.
- Inactive school or consumer accounts are typically deleted or anonymized after 24 months of no activity unless retention is mandated.
- We employ layered security controls including encryption in transit, restricted access, logging, automated monitoring, and regular testing.
07 · Your Choices & Rights
Depending on where you live, you may have rights to:
- Access, correct, or delete personal information.
- Export your data in a portable format.
- Opt out of marketing emails (use the unsubscribe link or contact us).
- Restrict or object to certain processing.
- Appeal decisions or lodge a complaint with your local data protection authority.
Send requests to privacy@cognovalabs.com. We may verify your identity before fulfilling a request. If we process information on behalf of a school, we will direct you to the relevant administrator.
08 · Children's Privacy
Our classroom products are designed with student data protection in mind and are used under the direction of schools or guardians. We comply with laws such as COPPA and FERPA. We do not knowingly collect personal information directly from children without verifiable parental consent or the authorization of an educational institution.
09 · International Transfers
We may store and process information in the United States and other countries. When data is transferred internationally, we rely on approved transfer mechanisms such as Standard Contractual Clauses or other safeguards that ensure an adequate level of protection.
10 · Changes to This Policy
We may update this Privacy Policy to reflect new features, legal requirements, or best practices. If changes are material, we will provide prominent notice (for example via email or in-app messaging) and indicate the new effective date.
